REGULATIONS OF THE MENTORING PROJECT
University of Warmia and Mazury in Olsztyn
Definitions
Unless these Regulations of the Mentoring Project of the University of Warmia and Mazury in Olsztyn (hereinafter: Regulations) provide otherwise, the following terms shall have the meanings set out below:
Mentoring – a development process based on a partnership relationship between the Mentor and the Mentee, involving the sharing of knowledge, experience and skills, with respect for differences and openness to mutual learning.
Mentoring Project (hereinafter: Project) – a form of activity implementing the assumptions of mentoring, carried out by the Centre for Cooperation with the Socio-Economic Environment of the University of Warmia and Mazury in Olsztyn (hereinafter: UWM).
Organizer – the Centre for Cooperation with the Socio-Economic Environment of the University of Warmia and Mazury in Olsztyn.
Mentee – a student (first-cycle, second-cycle, long-cycle Master’s studies or postgraduate studies) or a graduate of the University of Warmia and Mazury in Olsztyn up to 6 months after graduation, who, on the basis of a submitted application form, has been qualified by the Organizer to participate in the Project.
Mentor – a graduate of UWM or another higher education institution, professionally active and having professional experience in agreed areas.
Participant – a Mentor or a Mentee taking part in the Mentoring Project.
§ 1
The Project provides for cooperation and the transfer of knowledge and professional experience by graduates of UWM or other higher education institutions (Mentors) to students of our University (Mentees) in areas which, in various ways (based on the Mentors’ experience), may help and support them in planning and shaping their career paths.
§ 2
The aim of the Project is to implement mentoring at the University as a tool strengthening career guidance for students, oriented towards the development of their potential and competences, supporting strengths and increasing self-improvement skills. In line with this aim, this will result in increased self-confidence, motivation for development, and awareness among students when making educational and career choices. In addition, they will acquire knowledge directly from professionally active and experienced individuals with established expertise who also studied at UWM, which will inspire development in specific areas.
Additionally, the Project aims to create a community of University graduates who will remain connected with the University through the Project and other activities undertaken to support students in their professional development.
§ 3
The Project is continuous, with recruitment for subsequent editions announced periodically by the Organizer. Each mentoring process is expected to last up to 6 months (minimum of 6 individual meetings), unless Participants decide otherwise and it is justified by the effective achievement of the Project’s goals. The basic form of mentoring is individual meetings between the Mentor and the Mentee. Additional forms may also be implemented, e.g., meetings of several mentoring pairs, workshops and/or group training sessions. The number of Participants and the form of additional activities shall be determined by the Organizer in consultation with the Participants. The Project shall be carried out on UWM premises or in other locations agreed in advance between the Organizer and the Participants.
§ 4
Participation in the Project is voluntary and free of charge for all Participants.
§ 5
1. The Organizer’s responsibilities include:
1. recruitment of Mentors and Mentees for the Project;
2. coordination of the Project’s implementation;
3. providing meeting venues and tools within the Project;
4. supporting Participants throughout the mentoring process;
5. issuing certificates of participation in the Project;
6. evaluation and monitoring of the Project.
2. The Mentor’s responsibilities include:
1. submitting an application form to the Organizer and presenting the proposed form and scope of topics planned for work with the Mentee;
2. providing the Organizer with a biographical note and photograph for presenting the Mentor’s profile in UWM promotional channels;
3. developing, together with the Mentee, an individual work plan and schedule;
4. coordinating the mentoring process and verifying the implementation of the assumptions set out in the work plan;
5. jointly establishing and observing work rules (a “contract”) with the Mentee;
6. jointly setting goals with the Mentee and striving to achieve them;
7. monitoring the Mentee’s progress and supporting their development;
8. informing the Organizer of any changes related to the mentoring process and participation in the Project;
9. strictly complying with all safety rules and regulations applicable at places where Project meetings are held;
10. keeping confidential the information obtained during mentoring, except in situations posing a threat to the life or health of a Participant;
11. taking part in the Project’s evaluation.
3. The Mentee’s responsibilities include:
1. submitting an application form to the Organizer;
2. actively participating in the Project;
3. jointly establishing and observing work rules (a “contract”) with the Mentor;
4. jointly setting mentoring goals with the Mentor and striving to achieve them;
5. actively attending all meetings with the Mentor in line with the agreed schedule;
6. strictly complying with all safety rules and regulations applicable at places where Project meetings are held;
7. keeping confidential the information obtained during mentoring, except in situations posing a threat to the life or health of a Participant;
8. informing the Organizer of any changes related to the mentoring process and participation in the Project;
9. taking part in the Project’s evaluation.
§ 6
1. Persons meeting the following characteristics, criteria and conditions are preferred for participation in the Project:
Mentor:
a. higher education and professional experience forming a basis for developing a Mentee’s potential, as well as predisposition to share knowledge and experience;
b. availability, in particular allowing for:
– dedicating time to one’s own development and the development of others;
– participation in the organizational meeting and mandatory training for Mentors at a date set by the Organizer;
– participation in meetings with the Mentee (minimum of 6 meetings);
– participation in the summary meeting;
c. willingness to share skills, knowledge and experience;
d. awareness of one’s strengths and weaknesses in terms of soft skills and expert knowledge;
e. ability to listen and provide constructive feedback;
f. authenticity, honesty and sincerity, openness to other points of view, empathy;
g. acceptance by the Organizer of the proposed forms and scope of topics to be implemented during mentoring;
h. consent to present the Mentor’s profile via UWM’s promotional channels.
Mentee:
a. having the status of a UWM student;
b. availability, in particular allowing for:
– dedicating time to one’s own development;
– participation in the organizational meeting for Mentees;
– participation in meetings with the Mentor (minimum of 6 meetings);
– participation in the summary meeting;
c. willingness to develop and high personal motivation;
d. readiness to work on one’s career path, including exploring new opportunities, acquiring skills and gaining knowledge.
2. Recruitment of Participants to the Project is carried out by:
1. submission by the Participant of a completed online application form published by the Organizer on the website www.cwo.uwm.edu.pl
